We are seeking a diligent and detail-oriented Student Support officer / Administrator for our Fiji location administration team. It’s a full-time position available which is perfect for someone looking to make a difference and grow with an exciting company with us.
Key Responsibilities:
• Welcome all students in a positive manner and assist them as required.
• Answer, screen and transfer incoming phone calls, and distribute phone messages to the respective personnel
• Provide excellent customer service and satisfactory advice to all stakeholders about the Institute
• Respond to and solve queries
• Collect, maintain and store records logs
• Assist with daily maintenance of campus operations and services
• Provide assistance and administrative support to other departments
• Practice satisfactory customer care procedures in personal interactions
• Upheld cultural responsiveness – be aware of, and responsive to, customers cultural needs
• Student Services/Administration duties
• Generate, gather, process and maintain student documentation
• Check whether required documents have been received and whether the contents of those documentations are satisfactorily completed, as per requirements (i.e. all questions answered)
• Enrol, update and maintain student information in the student management system (aXcelerate)
• Assists In issuing Offer letter and enrolment confirmation.
• Build clients satisfaction by addressing their issue
• Generate, update and maintain data reports
• Collect, update, process and maintain student class attendance records (physical and electronic)
• Collect, update, process and maintain student course progress records i.e. from received assessments
• Contact students and follow up on student services matters, such as poor student attendance
• Gather and process students requests such as leave or withdrawal
• Assist in the preparation of student events such as orientation day
• Ensure all student documentation is maintained properly according to the requirements (i.e. physical and electronic)
• Log all communications with students in aXcelerate.
• Student Support and Welfare / Wellbeing
• Provide students with administrative assistance and personal guidance in accordance with the Institute’s procedures
• Provide support, assistance and advice to students or refer them to the appropriate services (i.e. academic, medical assistance, visa obligations, counselling matters, emergency services, accommodation, etc.)
• Follow up with students who have been referred to external agencies and services to ensure their matters have been responded to accordingly
• Participate in professional development sessions, as per company requirements.
• Listen and respond to student complaints, concerns and difficulties that may arise inside or outside the Institute
• Process student complaints and appeals in accordance with the Institute’s procedures
• Contribute to the development and improvement of policies, procedures and documentation
• Contribute to the list of referral services in the community to offer to students
• Maintain student support records and ensure they’re stored in accordance with the Institute’s privacy policies and procedures
• Maintain confidentiality, composure and professionalism at all times
Requirements:
• Minimum “Bachelor’s degree in business administration” or similar
• Minimum 1 year experience in general office administration and/or 1 year experience in student administration
• Tech savvy – able to easily learn and understand how to use new software/programs
• General basic level capability to use Microsoft Excel, power point and Word
• Familiarity with Learning management systems and student management systems. (preferred)
• Strong attention to detail and organisational skills.
• Ability to handle multiple tasks and meet deadlines.
• Excellent communication and interpersonal skills.
